1. Who processes your data

This website is operated by LLC «WELCOME TO UKRAINE» (USREOU 44559356), 40 Ushynskoho St., office 302, Kyiv 03151, Ukraine — an insurance agent entered in the register of the National Bank of Ukraine.

Policies are underwritten by PJSC «IC EUROINS UKRAINE», licensed by the National Bank of Ukraine (general insurance, class 18).

When you submit the insurance form, LLC «WELCOME TO UKRAINE» and PJSC «IC EUROINS UKRAINE» act as joint controllers within the meaning of Article 26 GDPR. Each party processes your personal data strictly for the purposes of policy issuance and claims handling.

2. What data we collect

To issue a policy we collect the following information about you and, where applicable, about any additional insured persons you add:

  • First name, last name and patronymic (if any)
  • Passport number
  • Date of birth
  • Citizenship
  • Email address and phone number
  • Date of entry into Ukraine and the length of cover you select

We do not collect payment card details. Card data is entered directly on the payment provider’s secure page and never reaches this website.

3. Why we process it, and on what legal basis

  • To issue your insurance policy and perform the contract you enter into — Article 6(1)(b) GDPR.
  • To comply with insurance, tax, and anti-money-laundering obligations, including sanctions screening required by law — Article 6(1)(c) GDPR.
  • To send you the policy document, contact you about your policy, and handle claims — Article 6(1)(b) GDPR.

We do not use your data for marketing, we do not sell it, and we do not make automated decisions producing legal effects concerning you.

4. Who else receives your data

  • PJSC «IC EUROINS UKRAINE» — as joint controller, to issue the policy and handle any claim.
  • The payment service provider — to process your payment.
  • Providers of hosting and email delivery, acting as processors on our instructions and bound by contract.
  • State authorities, where disclosure is required by applicable law.

5. International transfers

Your data is processed in Ukraine. Ukraine has been recognised by the European Commission as ensuring an adequate level of protection for personal data, so no additional safeguards are required for transfers from the European Economic Area.

6. How long we keep it

We retain your data for the term of the policy and for the period required afterwards by Ukrainian insurance, accounting, and anti-money-laundering legislation. Once that period ends, the data is deleted or irreversibly anonymised.

7. Your rights

You have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Request erasure of your data
  • Request restriction of processing
  • Receive a copy of your data in a structured, machine-readable format
  • Object to processing on grounds relating to your particular situation

To exercise any of these rights, write to info@welcomeukraine.today. We respond within 30 days.

If you are located in the European Economic Area, you also have the right to lodge a complaint with your national data protection supervisory authority.

8. Is providing this data mandatory?

Yes. Providing the data listed in section 2 is a requirement for entering into the insurance contract. Without it, a policy cannot be issued.

9. Changes to this notice

The current version of this notice is always published on visatovisitukraine.com. Any material change will be reflected in the «Last updated» date shown at the top of this document.
